Position Summary:

The Food Bank Assistant assists in day-to-day operations of the Food Bank. Under the direction of the Food Bank Project Manager, this position is responsible for data entry, filing, pantry coordination, processing mail, and other administrative duties. In addition, the Food Bank Assistant will assist with picking, packing, distributing, picking up, and delivering food as needed. This role also plays a key role in packing emergency boxes, maintaining warehouse inventory, assisting with the Shop Thru, and other duties as assigned.

Essential Job Duties and Responsibilities:

  • Enter client data into various systems and maintain organized files
  • · Answer phones and meet with walk-ins to assist with questions, enrollment, and distribution of emergency boxes
  • · Provide exceptional customer service to clients, visitors, and staff
  • · Coordinate activities of food pantries
  • · Train and Retrain pantry volunteers
  • · Prepare and process all pantry paperwork
  • · Serves as a keyholder for the Redstone facility
  • · Pick and pack emergency and senior food boxes for delivery to food pantries and FCCAA facilities
  • · Assists with the distribution, receiving, and storage of food and other products as needed
  • · Assists in maintaining Shop-Thru inventory by stocking shelves and freezers within the Shop-thru
  • · Assists with inventory control for warehouse items by ensuring accurate usage of the product scanner and movement of items throughout the warehouse
  • · Input pantry orders into Primerius
  • · Operates warehouse equipment including forklift, electric pallet jack, and manual jack to move pallets of inventory within the warehouse when needed
  • · Drives trucks and vans on assigned routes to delivery food to pantries and distribution centers as a backup if needed
  • · Performs other related duties as assigned

Education/Experience:

  • High school diploma or GED, Associate Degree preferred
  • · Proficient computer skills and familiarity with database systems
  • · Experience driving commercial vehicles for product delivery
  • · Forklift experience preferred
  • · Basic understanding of commercial vehicle inspection and maintenance is preferred
  • · Ability to pass and maintain DOT physical (must meet the standard in 49CFR 391.41) as a condition of employment

Additional Requirements

  • Must possess a valid driver’s license and clean driving record (no violations)
  • Ability to successfully pass Federal and State criminal background check and State of Pennsylvania Child Abuse background check

Physical Requirements

Work is performed primarily in an office setting but will occasionally serve as a backup in a Food Bank warehouse with hot and cold temperature exposure (warehouse, coolers, freezers, etc.) and noise due to the use of industrial exhaust systems and fans. Deliveries occur in a variety of weather conditions including rain, snow, sleet, and extreme heat. Ability to sit and drive for the duration of delivery route is required (typically 3-5 hours). Must be able to climb stairs in the warehouse, walk on uneven pavement (gravel/dirt) across yards and roadways to facilitate deliveries.

Position Summary:

The Commercial Kitchen Incubator Program Support Specialist is a front-line, direct service position responsible for supporting food entrepreneurs participating in FCCAA’s Commercial Kitchen Incubator and Small Food Business Program. This role provides hands-on assistance to members using the facility, supports delivery of training and supportive services, and helps ensure a safe, clean, and welcoming environment for entrepreneurs—particularly those from low-income and underserved communities.

The Program Support Specialist plays a key role in helping participants successfully navigate facility use, food safety practices, certification requirements, and basic business operations, while reinforcing FCCAA’s mission of promoting self-sufficiency, workforce development, and economic opportunity.

Roles and Responsibilities:

Direct Participant Support

  • Provide day-to-day, on-site assistance to incubator members during kitchen use, including orientation to equipment, storage areas, and facility procedures.
  • Serve as a point of contact for participants with questions related to scheduling, facility access, and basic operational needs.
  • Support low-income participants by helping connect them to FCCAA supportive services such as financial literacy, nutrition, housing, and other wraparound services.
  • Reinforce food safety, sanitation, and proper kitchen practices among members.

Program & Training Support

  • Assist with implementation of the Small Food Business Program, including classroom setup, materials preparation, and participant attendance tracking.
  • Support instructors and partner organizations during training sessions, workshops, and certification classes (e.g., ServSafe).
  • Provide basic assistance to participants working on business plan components, recordkeeping, and compliance tasks, referring more complex needs to the Project Manager or partners.
  • Help participants navigate licensing, permitting, and certification processes by providing checklists, referrals, and follow-up support.

Facility Operations & Safety

  • Assist in monitoring daily cleanliness and sanitation of shared kitchen spaces, ensuring compliance with health and safety standards.
  • Conduct basic equipment checks before and after use and report maintenance or safety concerns to the Project Manager.
  • Support enforcement of facility rules, membership agreements, and scheduling protocols in a respectful and supportive manner.
  • Assist with inventory of supplies and coordination of cleaning schedules

Data Collection & Documentation

  • Collect and maintain participant sign-in sheets, usage logs, and service documentation required for grant compliance.
  • Assist with tracking participant outcomes such as certifications earned, business startups, and employment milestones.
  • Enter data into FCCAA tracking systems or databases as required

Outreach & Engagement

  • Assist with outreach efforts to recruit new members and promote the Commercial Kitchen Incubator within the community.
  • Support open houses, orientation sessions, demonstrations, and special events.
  • Foster a welcoming, inclusive environment that encourages collaboration among food entrepreneurs.

Minimum Qualifications

  • High School Diploma or GED required; associate degree or relevant coursework preferred
  • At least one to two years of experience in food service, culinary operations, workforce development, community services, or customer support
  • Experience working directly with low-income individuals or diverse populations
  • Strong interpersonal and communication skills
  • Basic computer skills, including data entry and email communication
  • Ability to plan and organize daily work

Preferred Qualifications

  • ServSafe Food Handler or Manager certification (or willingness to obtain upon hire)
  • Experience working in a commercial kitchen, share-use facility, or food production environment

Additional Requirements

  • Ability to successfully pass Federal and State criminal background check and State of Pennsylvania Child Abuse screening

Work Environment

  • Work is primarily conducted on-site in a commercial kitchen environment.
  • May require evenings and weekends based on member usage and training schedules.
  • Physical requirements include standing for extended periods, walking, and light lifting.

Under the Direction of Project Manager, the Housing Coordinator works with existing, new, and potential FCCAA clients to understand their individual housing needs and assist them in securing temporary or permanent housing. 

Essential Job Duties and Responsibilities
Serves as the primary housing assistance resource for assigned clients

  • Determines the needs and available resources of persons seeking aid and works with them to determine what options or programs are available to them
  • Works with individual clients to facilitate access to appropriate social services including mainstream benefits, (SNAP, TANF, Medicaid, Medicare), mental health services, drug and alcohol services, community integration services, and other appropriate resources as required based on individual need
  • Works with clients to develop individual goals, plans and budgets and provides referrals to programs that will assist clients in achieving their plan
  • Ensures on-going case management for clients in accordance with funder, agency and program standards and guidelines
  • Develops and maintains relationships with community housing resources and landlords within their assigned region.
  • Coordinates the process of leasing, landlord negotiations, and contracts; or assists in the acquisition of bridge housing
  • Completes home inspections to ensure structures meet HSQ standards
  • Conducts regular client visits to determine individual progress, identify issues, and ensure needed services are being delivered
  • Coordinates inspections cleaning, turnover for transition housing units
  • Establishes supportive and understanding relationships with landlords
  • Completes all state and agency required training
  • Performs other related duties as assigned

Qualifications

Education/Experience

  • Three or more years in a customer service role required
  • Experience in social service case management preferred
  • Experience in case documentation and file maintenance preferred
  • Ability to establish and maintain rapport and cooperation with clients
  • Ability to protect client confidentiality in accordance with applicable regulations
  • Ability to communicate with clients who may have learning disabilities or barriers to understanding
  • Ability to communicate well via telephone
  • Ability to plan and organize daily work
  • Ability to listen and understand information and ideas presented verbally or in writing

Computer Skills

  • Intermediate MS Office skills including Word, Excel, and PowerPoint
  • Experience using customer relations systems preferred

Additional Requirements

  • Must possess a valid driver’s license and acceptable driving record
  • Must have reliable transportation to facilitate outreach visits
  • Ability to successfully pass Federal and State criminal background check and State of Pennsylvania Child Abuse screening

  • Meets project goals relating to number of clients served and quality of service delivered
  • Maintain above average client ratings on customer/client surveys
  • Delivers services within program scope and within projected budget and timeline

Physical Requirements Work is performed in multiple settings including client homes.  Some work performed in office setting while other tasks require travel up to 30% to conduct home and client visits.  Ability to sit or stand for prolonged periods of time required.  Some light lifting, carrying, pushing, or pulling are required to carry visit materials and perform basic office functions.  Ability to climb stairs to enter client apartments and homes required.  Requires manual dexterity to use a keyboard and enter client/business information.
